IDCA is a VTExperts extension for Vtiger that allows businesses to customize item details in Quotes, Invoices, Sales Orders, and Purchase Orders. It supports custom columns, formulas, totals, sections, and running subtotals.

Customizing Vtiger Quotes with IDCA for Multiple Currencies

A standard Vtiger Quote does not provide the required structure for handling different currencies independently across individual line items.

The requirement is to keep the USD and TL amounts separate instead of converting all items into one currency. VTExperts extended IDCA to support this requirement at the line-item level.

Multi-Currency Vtiger Quotes with Different Currencies

The customization allows each line item in a Quote to be assigned a currency.

This allows different currencies to coexist within the same Quote. The currency assigned to each item is then used when calculating the applicable subtotals and totals.

Adding Office Locations to Quote Items

The customization also allows each Quote line item to be associated with an Office Location. A single Quote can therefore contain items for multiple locations, such as Ankara and New York.

The location information can then be used to organize the Quote output into separate sections. IDCA provides the ability to create sections and group products or services within Quotes.

Selecting Payment Types for Quote Items

Each line item can also be assigned a Payment Type.

• One Time
• Monthly
• Annual

This payment information is used together with the currency when calculating the Quote totals.

For example, an item can be Currency: USD and Payment Type: Monthly, while another item in the same Quote can be Currency: TL and Payment Type: Annual.

Calculating Totals by Currency and Payment Type

The client required separate totals for each combination of currency and payment frequency.

For example, Total Monthly Payments TL includes only items where the currency is TL and the payment type is Monthly. Similarly, Total One Time Payments USD includes only USD items marked as One Time.

These are not converted currency totals. Each total is based only on the line items assigned to that currency.

Example of a Multi-Currency Quote

The system can calculate the totals according to both currency and payment type.Ankara – TL: Monthly 180.00; Annual 280.00; One Time 150.00

Ankara – USD: Monthly 350.00; One Time 2,400.00

New York – USD: Monthly 1,500.00; Annual 1,500.00

The Quote can then display the applicable totals without combining TL and USD into a single amount.

Grouping Quote Items by Office Location

Office location can also determine how the final Quote is organized. Instead of presenting all line items in one list, the Quote can separate them into location-based sections.

Running and Location-Based Subtotals

IDCA supports custom totals and running subtotals. Running subtotals can calculate the value of the items appearing above a particular subtotal point.

The customization uses this functionality to support the client’s location and payment structure. For example, a section can contain items for one office and show the applicable subtotal before the next location begins.

This makes the Quote easier to follow when multiple offices and billing arrangements are included in the same document.

Document Designer for the Final Quote PDF

The customized Quote also needs to be represented correctly when it is converted into a PDF.

For this requirement, VTExperts uses Document Designer and has customized the document output to work with the multi-currency Quote structure.

The PDF can display the Quote information according to the selected office locations, currencies, and payment types.
