The competition among the business firms is very intense, because of this very reason, firms do not let go of any opportunity that can benefit their business no matter how small that change is. The gap between market leaders and tier 1 business corporation is not so vast, they are alike in regard to human resource, marketing budget, partnerships etc. The things which differentiate market leaders from the rest of the firms are tiny tweaks that they brought into their operations and because of those small improvements they enjoy competitive edge.
One of such tweak is automating the process and creating workflow is one of the finest examples related to this ideology. Why spend your human resource on a task which your computer can perform? Why don’t you use that human resource in doing something more constructive for the business? I think all of us know the answer to these questions, the purpose of automating processes is to provide more opportunities for employees by minimizing the burden of work.

Target Module: It is a drop down menu from which you will choose the module to which workflow is related to.
Status: Two options will be provided in status tab, 1) Active and 2) Inactive. When you want to implement the workflow, choose the Active status and when it is not in use, simply change the status to inactive.
After that, you have to configure when this workflow will go into action. In this regard, you have to outline options regarding two factors which are mentioned below
Trigger Workflow on : This function can be calibrated using three different options. Workflow will start performing its tasks, when the Contact is Created OR Contact is Updated OR Time Interval.
Recurrence: Using this tool you can set up the number of times workflow will put into action when the Trigger Workflow will be fulfilled.
2.Build conditions for the Workflow
In the second phase, you have to construct the conditions according to which workflow will perform the tasks. You can provide multiple conditions to trigger a single task and vice versa. This feature will allow you to execute a task when all the conditions are met or perform the task even one of the provided condition is met. In short, it offers both AND and OR conditions.
3.Deploy Actions Accordingly
In the last phase of setting VTiger 7’s workflow feature, you have to define the actions which will be performed as a result of fulfilled condition. An example to broaden your view about Workflow feature
Hometech is a firm which provides solutions to the home security. It offers a vast range of products from surveillance cameras to the thumb impression locks etc. In regard to customer service, their business was facing a serious problem; they had to invest so many resources into it. Like a person who checks the emails, afterwards it is sent to another person who checks the status of the issue. Then their representatives contact the customer and apologize to him, with a promise to resolve the issue.
A lot of time and more human resources are wasted in doing all this. Now, they use VTiger 7 workflow and automate the customer service operations mentioned earlier. Whenever they receive an email or call with a complaint, workflow changes its status to urgent, then dispatch an automated email to the client with an apology. On the other end, it specifically alerts the staff member, who is working on the relevant domain, of the problem.
VTiger 7 Workflow is just a simple and easy to use tweak for your business operations and it can save you from a lot of hassle.
